For the organiser of a group trip

The team is going to a trade show. Prepare connectivity before check-in.

For a group, the common problems are not just package choice. They are the participant list, installation timing and assigning a purchase to the wrong person. A clear process moves that work away from the airport.

  • One confirmed traveller list
  • Bulk purchases with individual results
  • Installation and fallback planning

For trade shows, conferences and company trips. Attendee phone connectivity is a separate requirement from a stand’s network, payment terminals or an event broadcast.

Start with the people and their roles

Confirm the final participants, arrival and departure dates, and email addresses used in the portal. A one-day conference visitor may need a different package from a team installing a stand and staying until dismantling is complete.

List the work: navigation, organiser messages, customer contact, photograph uploads, application demonstrations and video calls. Travelling to the same city does not give everybody the same data needs.

Separate attendee data from the stand’s connection

A travel eSIM can help an attendee reach the venue, receive a message or work on their phone. It is not automatically a guaranteed connection for a stand, live stream or payment system. Check organiser conditions, device requirements and an appropriate fallback for those uses.

Inside a crowded hall, network load and the building can affect connection quality. If a demonstration depends on internet access, prepare an offline version and agree connectivity with the organiser. Buying another package is not a promise of removing local network congestion.

Buy as a group, check each outcome

In the portal, an administrator selects a package and recipients from active organisation members. Send invitations, verify acceptance and check limits beforehand. The bulk-order screen is not the best place to discover who has not activated their account.

After confirming, read each line’s result. Some purchases can succeed while others are refused because of membership or limits. Keep the order references and establish what exists before buying missing items. Re-entering the complete list as a new purchase could order additional packages.

Agree when phones should be prepared

Tell people when and on which device to install, following the selected product’s conditions. Profile download requires working internet. Avoid leaving the entire process until immediately before departure, when employees have little time to check settings.

Each person uses their own eSIM and account instructions. QR codes should not be placed in a public slide deck or general conference channel. Check that participants know how to select the data line and retain the correct line for their usual number.

  1. Before purchasing

Confirm the traveller list, devices, destinations and stay length.

  2. Before departure

Check fulfilled orders and profile preparation according to the instructions.

  3. On arrival

Ask travellers to confirm mobile data; use the fallback where needed.

  4. After the event

Review expenses, documents and any unresolved support requests.

Prepare for participant changes

If someone cancels, first check the assigned eSIM’s state and cancellation conditions. Do not assume its QR code can simply be handed to a replacement traveller or that profile ownership can be changed. Resolve uncertainty before installation.

A replacement participant needs appropriate access and a correctly assigned purchase. A reserve can cover additional people or changed dates in your budget, but it does not guarantee that the same product will remain available later.

Give finance the records and the team the lessons

After the event, filter expenses by participants and dates. Retain order references, the CSV export and available invoice PDFs. Track event or project identifiers in your own process; a dedicated event-management module is not part of this description.

Ask attendees whether installation was clear, data was sufficient and their applications worked where required. Those answers are more useful for the next event than simply duplicating the previous purchase list.

Questions before you decide

Does each attendee install their own profile?

Yes. Each recipient prepares their eSIM on the intended compatible device. The administrator can organise purchases and guidance, but that does not replace phone installation.

Can one phone provide internet for the whole stand?

Hotspot availability does not establish that one phone and package will meet a stand’s needs. Check product terms, device numbers, traffic and continuity requirements.

Does every bulk order succeed in full?

Not necessarily. Check every line because individual members’ limits and permissions can differ.

Do you provide on-site event support?

That is not a standard promise of this offer. Describe the assistance you need and confirm any agreed scope before travelling.

Where is your team heading?

Tell us the destinations, approximate team size and how you want to organise purchases. We will discuss the account setup and payment terms.
